About the role

  • Real estate transaction analyst processing Canadian brokerage deal files from entry through closing. Supporting agents and advancing eXp Realty’s cloud-based technology adoption.

Responsibilities

  • Coordinate the flow of documentation from agents to the office, solicitors, and other real estate companies involved in contracts
  • Process deal files from deal entry through closing and process listing contracts when necessary
  • Review contracts and accompanying documents in Skyslope
  • Perform data entry into BackOffice, calculate commissions, and verify MLS data
  • Process residential, commercial, lease, service/fee agreement, referral, and cancellation transactions
  • Request missing documentation from agents and confirm all required documentation is present before closing
  • Follow up with agents regarding missing paperwork and escalate issues to a managing broker when necessary
  • Generate Trade Records and provide copies to agents
  • Verify deposit information and ensure client funds are deposited into the trust account on time
  • Convey accurate instructions, invoices, and paperwork to solicitors and outside brokerages
  • Report outstanding issues to the Provincial Transaction Team Lead and follow Team Lead procedures
  • Maintain conveyance email accounts and respond to agent, staff, and external inquiries
  • Ensure files receive final sign-off by the Provincial Administrator Broker when applicable
  • Coordinate with the payouts department to facilitate lawyer payments and commission releases
  • Attend orientation, FINTRAC training, team meetings, provincial and national meetings, and monthly training sessions
  • Drive technology adoption, agent enablement, and digital innovation across the province
  • Champion adoption of Skyslope, Slack, CRM of Choice, My eXp, and other core platforms
  • Partner with technology and training teams on technology rollouts
  • Monitor agent adoption metrics, identify friction points, and recommend solutions
  • Provide frontline support on transactions, system navigation, and technology compliance workflows
  • Lead or co-facilitate provincial training sessions and maintain a resource library or knowledge base
  • Liaise between field operations and national technology teams and participate in innovation pilots
  • Maintain communication with team members and supervisors through email, instant messaging, video conferences, and other channels
  • Attend virtual meetings, provide progress updates, and participate in discussions
  • Complete assigned projects accurately, manage workload and deadlines, collaborate remotely, and respond during agreed-upon working hours

Requirements

  • High school diploma required or equivalent years of applicable experience
  • 2+ years of experience in real estate transaction processing required
  • Computer experience essential
  • Real estate or legal conveyancing experience strongly preferred
  • Basic knowledge of Canadian real estate transaction requirements and provincial processes
  • Knowledge of G-Suite, Skyslope, LoneWolf (BackOffice), and HubSpot an asset
  • Able to process 200–300 transactions within the process
  • Ability to process an average of 35 new deals per week within assigned boards
  • Proficient knowledge of G Suite required; Microsoft Office experience is a bonus
  • Dedicated home-office/work space
  • Aptitude and adaptability for using online platforms and software to work remotely
