About the role

  • Project Administrator supporting project setup, closeout, compliance, and document control at Maven. Helping deliver essential power, water, gas, and infrastructure projects across Western and Northern Canada.

Responsibilities

  • Assign and track project and proposal numbers according to Maven’s numbering system
  • Maintain accurate and up-to-date project records
  • Support project initiation and setup by opening project files and populating standard templates
  • Coordinate kickoff documentation with project teams
  • Coordinate project closeout, including final documentation, record archiving, and completion of administrative requirements
  • Track staff training, certifications, and compliance requirements
  • Flag upcoming renewals and maintain compliance records
  • Maintain document control processes across active projects
  • Support the development and implementation of Maven Hub, including content organization, testing, and user adoption
  • Provide office and administrative support as needed
  • Collaborate with project managers and teams across Maven business units
  • Report to the Corporate Services Manager

Requirements

  • Diploma or degree in business administration, office administration, or a related field (or equivalent experience)
  • 2+ years of experience in an administrative, project coordination, or document control role
  • Experience within engineering, construction, or infrastructure consulting would be an asset
  • Certificate in project administration, document control, or a related discipline would be an asset
  • Strong organizational skills and high attention to detail
  • Ability to manage multiple priorities and deadlines across teams
  • Proficient with Microsoft Office and SharePoint or similar document management platforms
  • Collaborative, service-oriented approach
  • Comfort working cross-functionally across business units
  • Legally authorized to work in Canada
