Program Support Assistant coordinating clinic administration, client intake and scheduling for Providence Health Care. Managing records, supplies, maintenance and site security in Vancouver.
Responsibilities
Provide administrative, general clerical and related duties in clinic operations
Screen and prioritize incoming correspondence and clinic mail
Maintain appointment calendars, clinic schedules and booking systems
Book, schedule and confirm client appointments and establish waiting lists
Perform clinic reception and answer general inquiries via email
Provide direction and general information about programs and policies, referring problems to the Supervisor or Program Leader
Assist with client intake, obtain information, complete admission documentation and liaise with information sources
Input client information and maintain client charts, registers, databases and filing systems
Arrange meetings, take minutes, compose correspondence and prepare reports, forms, tables, letters and presentation materials
Develop and interpret worksite policies and procedures with the Clinical Supervisor or Program Leader
Authorize pre-approved expenditures and process associated billings
Manage inventories, requisitions, purchase orders, supplies, equipment and invoice discrepancies
Arrange building maintenance and cleaning, coordinate maintenance staff and oversee minor worksite modifications or renovations
Assist with site security, check doors and alarms, report incidents, provide surveillance video access to authorities and obtain emergency services
Requirements
Grade 12, supplemented with standard commercial and related computer courses, medical office assistant course from a recognized institution, plus three (3) years' recent, related experience, or an equivalent combination of education, training and experience
Proficient with computers and able to learn and manage new technology systems
Proven word processing skills
Ability to create and work with spreadsheets, Microsoft Office documents and clinical databases
Ability to type 40 wpm
Business writing skills
Knowledge of medical terminology
Knowledge of office and community clinic management principles and practices
Ability to maintain effective working relationships with employees, patients, service providers and the public
Ability to explain clinical contracts, clinic procedures and regulations
Ability to maintain confidentiality and communicate effectively verbally and in writing
Ability to work under pressure, multitask, problem-solve, take initiative, anticipate potential problems/conflicts, organize and prioritize workload, and meet deadlines
Ability to supervise maintenance of complex clinical records and prepare statistics/narrative reports
Ability to assist staff with basic troubleshooting related to technology systems
Ability to work as part of a team and participate in meetings
Ability to operate standard office equipment
Ability to direct building trades/maintenance, direct repairs and provide recommendations on renovations/upgrades/repairs
Physical ability to carry out the duties of the position
Testing may be required
