About the role

  • Administrative Assistant supporting Nova Scotia social development services. Coordinating recruitment, records, expenses, equipment, and office operations across Eastern Region offices.

Responsibilities

  • Provide day-to-day administrative support to the Regional Service Delivery Manager and other regional leaders
  • Manage calendars, meetings, agendas, minutes, correspondence, reports and follow-up items
  • Prepare confidential correspondence across programs
  • Process and track invoices, expenses and operational costs
  • Respond to enquiries and connect employees, candidates, service providers and members of the public with appropriate contacts
  • Coordinate recruitment activities, including interview scheduling, candidate communications, interview materials and hiring records
  • Coordinate office maintenance requests and address facility needs
  • Distribute and track laptops, monitors and other equipment across offices
  • Coordinate Freedom of Information and Protection of Privacy requests
  • Coordinate staff training and engagement events
  • Support administrative projects, candidate inventories and hiring processes across the Eastern Region
  • Occasionally travel between office locations

Requirements

  • Completed a one-year program in business administration, office administration or a related field, plus at least three years of related administrative support experience; or an equivalent combination of education, training and experience
  • Alternatively, four years of related administrative support experience or a completed related bachelor’s degree
  • Experience coordinating detailed administrative work with multiple priorities and deadlines
  • Experience creating, organizing and maintaining accurate electronic records, documents or tracking systems
  • Experience handling confidential or sensitive information appropriately
  • Experience using common office software for email, calendars, word processing and spreadsheets, such as Microsoft Outlook, Word and Excel, OneNote, Teams or comparable applications
  • Ability to communicate information clearly and respectfully in writing, by telephone, virtually and in person
  • Ability to work independently on assigned responsibilities and collaborate with employees, managers and service partners
  • Ability to assess competing requests, adjust priorities and escalate urgent or sensitive issues appropriately
  • Successful completion of applicable background checks and credential confirmation
  • Asset experience includes interview coordination or SuccessFactors, invoice and expense processing, Freedom of Information and Protection of Privacy requests, records management, and Microsoft 365 applications
