About the role

  • Torys law-firm coordinator managing sports and concert hospitality, ticketing, and client gifting in Toronto. Coordinating vendors, merchandise, memberships, and onsite events.

Responsibilities

  • Coordinate all aspects of sports and concert-related events
  • Source and secure venues and hospitality suites
  • Arrange catering, prepare and distribute invitations, and manage guest lists and RSVPs
  • Coordinate client gifts and liaise with internal firm members and external vendors
  • Process event-related expenses and payments
  • Support onsite event execution, including occasional after-hours work
  • Coordinate ticketing processes and gifting requests with Marketing & Business Development, Human Resources, and Diversity, Equity & Inclusion teams
  • Source, manage, track, and negotiate memberships with approval from the Manager, Events
  • Track season tickets, including client distribution, invoice processing, and reconciliation
  • Order and track client gifting needs
  • Source, maintain, and distribute Torys branded merchandise
  • Identify, assess, negotiate with, and manage gifting and merchandise vendors
  • Create, develop, and manage the Torys Merchandise website and Holiday Gifting inventory
  • Research industry trends and emerging products for gifting and promotional merchandise
  • Maintain standardized gifting and merchandise processes, guidelines, and resource materials
  • Train new event team members on Uber platforms, client gifting, and sports ticketing processes
  • Conduct post-event reporting and analysis for sporting events and arts and entertainment initiatives
  • Participate in department projects and initiatives

Requirements

  • Post-secondary degree or diploma in office administration, or equivalent experience to successfully complete the essential requirements of the role
  • 2–3 years of related experience, preferably within a law firm or professional services firm
  • Proficiency in the MS Office product suite
  • Experience working with a CRM database; InterAction preferred
  • Experience working with ticketing platforms such as Ticketmaster or StubHub is an asset
  • Exceptional client service orientation
  • Ability to manage shifting priorities and multiple client needs simultaneously
  • Excellent verbal and written communication skills
  • Ability to interact with individuals at all organizational levels with tact and diplomacy
  • Strong interpersonal skills and ability to work independently and collaboratively
  • Excellent organizational, attention-to-detail, and time-management skills
  • Ability to prioritize and meet tight deadlines with minimal supervision
  • Sound judgment and ability to handle confidential information discreetly
  • Flexibility to work overtime, including evenings and weekends
  • Ability to travel occasionally when required
  • Ability to safely lift and move moderate to heavy items occasionally, with Facilities team support when required
  • Successful criminal record, social media, employment, and educational background checks
