Program Coordinator supporting medical education programs at the University of Toronto’s Temerty Faculty of Medicine. Coordinating trainee services, examinations, schedules, records, and events.
Responsibilities
Provide detailed information on program and/or training requirements
Ensure hospital administrators follow medical education requirements, guidelines and procedures
Coordinate application processes, verify document accuracy and completeness, and calculate grades
Prepare examination timetables and coordinate program schedules and activities
Verify and review Royal College training requirements
Draft correspondence to trainees and faculty and update records
Coordinate event logistics, meeting schedules, minutes, catering, and resolve timetabling and room booking conflicts
Update and maintain trainee records and generate reports
Collaborate with faculty, trainees, administrative coordinators, and internal and external stakeholders to support education programs
Requirements
Bachelor's Degree or acceptable combination of equivalent experience
Minimum two years' of related experience in a University or equivalent environment such as a teaching hospital
Demonstrated student services experience, including experience coordinating education programs, examination timetables and ensuring program requirements, guidelines and procedures are adhered to
Experience working effectively in fast paced team environments and providing front-line support to academic leaders and committees
Experience supporting events and implementing virtual meeting platforms
Experience drafting correspondence, maintaining databases and generating reports
Excellent communication and interpersonal skills, tact, political acuity and diplomacy
Advanced proficiency with MS Office Suite, student information systems, learning management systems and videoconferencing platforms
Strong organizational skills and demonstrated ability to multi-task, meet deadlines, manage competing priorities according to changing demands
Demonstrated ability to work independently, as well as part of a team
Ability to work well with individuals at all levels, including faculty, staff and students in a manner that engenders cooperation
Demonstrated ability to learn and innovate, using technology
Demonstrated interest in continuous quality improvement
Experience with medical education curriculum processes (asset)
Experience working with POWER, Elentra, Quercus, MEDSIS, OATS (asset)
