About the role

  • Order Management Administrator fulfilling software license orders for Absolute Security’s endpoint protection platform. Managing Salesforce and NetSuite bookings, invoicing, account assignment, and customer order issues.

Responsibilities

  • Fulfill software license orders using Salesforce and NetSuite
  • Follow department Service Level Agreements for order fulfillment
  • Respond to internal and external customer requests and escalate difficult issues to the Team Lead or Director of Order Management
  • Maintain business process documents on Order Management Confluence and Asana platforms
  • Participate in, train, and become proficient in new order management processes
  • Convert Trading Partner orders from email, PDF, spreadsheet, or other formats into templated reports for system upload
  • Assign orders to customer accounts in Salesforce to provision customer licenses
  • Invoice approved orders and issue credit notes as required
  • Move incorrectly assigned orders or orders as instructed by Sales
  • Verify approved orders have the correct Service Start date and research discrepancies
  • Troubleshoot order loading errors, account setup issues, and other order approval delays
  • Provide coverage during team member absences
  • Support Order Management transactions including Order Loading, Order Approval, Account Assignment, Credit Notes, Buyback, and Annual Payment scenarios
  • Follow up with Trading Partners for missing end-user information
  • Collaborate with Global Sales Operations to set up or revise accounts
  • Work on Consumer reporting as assigned
  • Collaborate with Channel, Sales, and other departments to resolve order booking issues
  • Attend Order Management and internal department meetings
  • Use the Helpdesk Process to resolve Order Management System issues
  • Protect the security and privacy of Absolute and its customers
  • Take on other departmental projects or tasks as required

Requirements

  • Five years of experience in an Order Management environment
  • Understanding of booking orders in Term, Billing-in-Arrears, Invoicing, and Credit/Debit transactional environments
  • Strong ability to learn variations of standard billing methods
  • Strong team player willing to support teammates at all levels
  • Willingness to train others and contribute new process improvement ideas
  • Proficiency in Excel, including Pivot Tables, Filter, and Sort
  • Strong attention to detail
  • Ability to correctly assign orders to proper customer accounts
  • Ability to work extra hours at month-end, quarter-end, or during special circumstances
  • Ability to work during vacation blackout periods in the last two weeks of March, June, September, and December
  • Ability to protect the security and privacy of the company and its customers
