About the role

  • Records and Information Management Assistant digitizing paper records and maintaining databases for Alberta’s securities regulator. Supporting records requests, inboxes, RIM orientations, labeling, and meeting minutes.

Responsibilities

  • Digitize physical (paper) records by scanning and importing records
  • Ensure proper classification and quality control of digitized records
  • Enter data and maintain ASC databases, including eDOCS document management and Microsoft Dynamics 365
  • Assist users with records requests and troubleshoot record-related issues
  • Monitor internal and external email inboxes
  • Assist with administrative duties for RIM orientations
  • Manage the label creation process
  • Take minutes during RIM meetings
  • Complete other duties as required by the RIM team

Requirements

  • High school diploma with a minimum of 2 years of administrative, clerical, records, or office support experience
  • Post-secondary certificate or diploma in Administration, library sciences, records management, or a related field considered an asset
  • Working knowledge of Microsoft Office, including Outlook, basic Word documents, and Excel spreadsheets
  • Exceptional organization skills and desire to contribute to team goals
  • Good understanding of records and information practices and processes
  • Excellent problem-solving, communication, and customer service skills
  • Ability to work with high accuracy and special attention to detail
