About the role

  • Executive Assistant supporting Autodesk’s GTM Data & Intelligence leadership. Managing calendars, travel, meetings, communications, events, expenses, and confidential operations.

Responsibilities

  • Manage complex calendars for the Sr. Director of GDI
  • Coordinate executive travel, including itineraries, travel requirements, visa processes, and logistics
  • Travel with the executive as needed, approximately 2-4 times per year
  • Coordinate internal and external meetings, including agendas, materials, technology, and logistics
  • Support leadership meetings, staff meetings, All Hands, manager calls, planning sessions, and employee and business reviews
  • Capture notes, document action items, and track follow-up items
  • Track expenses and purchase orders with Finance and accounts payable
  • Support recurring meeting cadences, leadership communications, team coordination, and administrative follow-through
  • Manage event logistics, including venues, A/V, catering, communications, materials, travel details, and onsite logistics
  • Coordinate GDI-wide communications, collect inputs, prepare draft materials, and format updates
  • Maintain Slack channels, email aliases, distribution lists, directories, and other team information systems
  • Handle confidential employee, operational, organizational, leadership, and business information
  • Build working relationships across the organization and with external partners
  • Identify improvements to administrative processes, meeting logistics, documentation, information management, and day-to-day coordination

Requirements

  • 2-5+ years of experience providing administrative support to senior leaders
  • Experience managing complex calendars, coordinating meetings, preparing materials, supporting communications, booking travel, and processing expenses
  • Ability to work in a fast-paced environment requiring strong prioritization, attention to detail, discretion, and follow-through
  • Ability to handle confidential and sensitive information with professionalism and sound judgment
  • Comfort with ambiguity and change; able to adapt quickly, stay organized, and help bring structure to administrative processes
  • Strong written and verbal English communication skills
  • Proficiency with Microsoft Office and collaboration tools, including Outlook, PowerPoint, Excel, Word, Slack, Microsoft Teams, and Microsoft SharePoint
  • Experience coordinating meetings, events, travel, onboarding logistics, team documentation, or internal communications
  • Prior experience planning global offsites, events, and all-hands meetings
  • Strong interpersonal skills and ability to build productive working relationships
  • Results-oriented team player with a customer-service mindset
  • Prior experience working in the Tech industry preferred
  • Ability to travel to events or internal meetings, locally and internationally, approximately 2-4 times per year
