Senior Administrative Assistant supporting CMHA Ontario, which improves mental-health services and addiction support. Coordinating confidential executive administration, calendars, meetings, reports, travel, and stakeholder events.
Responsibilities
Provide daily administrative and coordination support to the Chief Operating Officer and four Chief Officers on the executive leadership team
Coordinate Chief Officers’ time-management activities, Outlook calendars, appointments, meetings, agendas, presentations, and events
Provide administrative and clerical support, including managing mail, processing invoices and expense claims, records management, and taking and distributing meeting minutes
Respond to and redirect unsolicited emails and calls
Administer privileged material and information confidentially and sensitively
Maintain confidential files and prepare correspondence, memoranda, meeting minutes, reports, and spreadsheets
Set up surveys and prepare reports using online survey tools and appropriate technology
Organize travel arrangements
Support coordination of large meetings and stakeholder events
Meet regularly with the Executive Assistant to the CEO and Board Liaison to coordinate and plan across the C-suite
Attend meetings throughout the workday/work week, including meetings scheduled on short notice
Requirements
Minimum 3–5 years’ work experience in an administrative capacity or equivalent training
Experience within the healthcare sector is an asset
Knowledge of administrative protocols and procedures
Proficiency with word processing, Outlook, SharePoint, Smartsheet, Salesforce, graphics, spreadsheets, and databases
Ability to produce accurate reports, correspondence, presentations, charts, tables, and other documents
Communication and interpersonal skills to manage relationships with internal and external stakeholders and staff
Analytical and problem-solving skills
Good written communication skills
Ability to manage sensitive and/or confidential information with discretion
Ability to determine work priorities amid conflicting demands and deadlines
Good organizational skills
Well-developed administrative, organizational, problem-solving, multitasking, prioritization, and time-management skills
Full COVID-19 vaccination and proof of vaccination required as a condition of employment
Ability to work in a hybrid arrangement, normally 3 days per week from the office and 2 days from home
