Executive assistant supporting CPAWS, a national conservation charity, and its Board of Trustees. Managing executive administration, governance records, meetings, budgets, and AGM coordination.
Responsibilities
Provide broad administrative and strategic support to the National Executive Director.
Manage the National Executive Director’s calendar and prioritize correspondence.
Organize meeting logistics and prepare correspondence and meeting materials.
Support administrative financial processes and manage the National Executive Director’s annual office budget.
Coordinate logistics for national meetings and events, including National Board of Trustees meetings, both virtual and in-person.
Coordinate all meetings of the National Board of Trustees and its committees.
Maintain board governance records and ensure documentation is accurate, comprehensive, organized, and accessible.
Manage information and access to CPAWS collaboration platforms and keep policies up to date.
Support Annual General Meeting planning and execution.
Perform occasional reception duties.
Support national office operations as necessary.
Requirements
Bilingualism (English and French) is required.
3+ years of related work experience supporting a senior executive; a combination of work experience and education may be considered.
5+ years of experience working in office administration.
Prior experience with corporate governance and supporting Boards of Trustees.
Experience coordinating meetings, events, and logistics with multiple stakeholders.
Experience conducting research and creating reports or presentations.
Strong project management skills, including independently organizing and monitoring deadlines and resources.
Exceptional organizational and time management skills with high attention to detail and accuracy.
Strong written and verbal communication skills and ability to learn quickly.
High discretion and professionalism when handling sensitive information.
Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and virtual meeting platforms.
Ability to manage competing priorities and adapt to changing deadlines and conditions.
Interest in or commitment to environmental conservation.
Occasional travel required.
Flexibility to work occasional evenings and weekends.
Prior non-profit or charitable sector experience is nice to have.
Experience supporting a national or multi-stakeholder organization is nice to have.
Education in administration, business, communications, or a related field is nice to have.
