About the role

  • Member experience coordinator planning employee events, wellness programs, and community initiatives at DLL, a global asset finance company. Managing vendors, budgets, communications, and event outcomes.

Responsibilities

  • Lead end-to-end planning and execution of internal events, including community activities and member celebrations
  • Coordinate event logistics including materials, venue, catering, A/V, transportation, accommodations, and vendor relationships
  • Develop timelines, budgets, run-of-show documents, and post-event evaluations
  • Optimize coordination through a centralized calendar using Asana or similar project management tools
  • Monitor ROI and feedback, capturing stories and data to demonstrate impact and inform future strategy
  • Act as a channel for member feedback and incorporate suggestions to enhance member experience
  • Promote events through weekly email communications, Team channels, and a dedicated portal
  • Execute initiatives supporting positive, inclusive workplace culture
  • Organize employee recognition, wellness programs, and engagement experiences
  • Design inclusive event experiences reflecting DLL values and fostering community connection
  • Build relationships with speakers, vendors, internal teams, and stakeholders
  • Maintain event playbooks, guidelines, internal webpages, digital assets, financial documentation, and forms
  • Support office operations, deliveries, storage organization, and ad hoc logistical needs
  • Perform administration tasks and prepare and present reports
  • Own and maintain the comprehensive event calendar
  • Track expenses, ensure budget alignment, prepare outcome reports, and uphold health, safety, and accessibility standards
  • Partner with Facilities to ensure policy compliance, calendar approvals, space reservations, and logistical requirements

Requirements

  • Post secondary education required
  • Minimum 2 years’ experience in successful event management, communications, public relations, fundraising and/or project coordination in a virtual and in-person environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
  • Flexibility to work evenings/weekends as needed
  • Strong analytical skills to interpret event data and generate actionable insights
  • Experience managing budgets and vendor relationships
  • Knowledge of accessibility and inclusion best practices
  • Excellent oral and written communication skills for effective business correspondence and collaboration
  • Creative mindset focused on enhancing customer experience
  • Ability to work independently and in a team environment in a hybrid environment (minimum 2 days/week in-office), and be present at onsite events (access to vehicle required)
  • Flexibility to shift priorities and complete tasks within set deadlines
  • Alignment with DLL’s values and commitment to the mission/purpose of the organization
  • Proven ability to manage sensitive information with discretion
  • Strong organizational skills and attention to detail
  • Self-starter with a proactive, solution-oriented approach
  • Successful completion of a background check
