About the role

  • Medical office administrator supporting Felix’s online healthcare platform and healthcare practitioners. Managing clinical files, lab requisitions, virtual consultations, and protected health information.

Responsibilities

  • Work closely with medical directors and the clinical operations team to manage and strategize for the medical pillar regarding healthcare practitioner functionality
  • Own file management by consolidating, updating, and maintaining electronic files and documents, including labs and referrals
  • Create and follow a system to track lab requisitions and ensure results and documentation are received in full
  • Audit prior-month requisitions and contact labs and patients when ordered test results are missing
  • Act as liaison and support between the pharmacy and healthcare practitioner communications
  • Schedule, manage, and support healthcare practitioners and patients with audio/video consultations
  • Perform duties assigned by the clinical operations manager or medical director
  • Work closely with the customer support team
  • Maintain clinical documentation and update training materials
  • Respond to faxes and voicemails from external stakeholders
  • Perform administrative and data entry tasks supporting lab management processes
  • Assist healthcare practitioners with document management and basic editing of medical and insurance forms
  • Participate in QI/QA initiatives
  • Safeguard and protect personal health information as a personal health information delegate

Requirements

  • Must be located in Canada
  • Must be available to work a set schedule of 5pm-1am EST (2pm-10pm PST), 5 days a week including weekends, 40 hours a week
  • Must be available to work evenings and weekends as needed
  • Successful completion of a medical office administration program or equivalent education in a related field
  • Minimum 2+ years of experience working as a medical office professional
  • Experience working in virtual care is considered an asset
  • Technical aptitude and the ability to learn software and systems quickly
  • Experience working with an EMR
  • Strong organizational skills and meticulous attention to detail
  • Customer service experience is considered an asset
  • Exceptional verbal and written communication skills
  • Ability to work both collaboratively and independently as we are a virtual-first company
  • Fluent in English; bilingual in French is considered an asset
  • Must have suitable remote-working environment where the safeguarding of personal health information can be facilitated
  • Must be legally entitled to work in Canada
