About the role

  • Workplace facilities specialist managing GS1 Canada’s Toronto office, Montreal oversight, Health & Safety, travel, and employee experience. Supporting GS1 Canada’s workplace operations, ESG, vendors, budgets, and technology.

Responsibilities

  • Own day-to-day operations of the Toronto office, ensuring the workplace is safe, functional, and welcoming.
  • Manage vendor relationships, contracts, service-level expectations, and performance.
  • Manage building operational issues, Health & Safety compliance, and maintenance.
  • Lead space planning, workspace allocation, and space-conflict resolution.
  • Oversee access and parking control and the Card-Reader (Verex) system.
  • Maintain operational systems including SharePoint, Teams, and Jira for ticket tracking, automation, and SLA adherence.
  • Manage courier accounts, office mail, equipment deliveries, inventory, supplies, and procurement.
  • Serve as the operational contact for Toronto staff and support onsite visitors.
  • Partner with Corporate Communications & Brand on workplace updates, procedures, employee engagement, and recognition initiatives.
  • Partner with HR and IT on onboarding and workplace technology modernization and automation.
  • Serve as the certified on-site Health & Safety lead, oversee OHSA compliance, and chair the Joint Health & Safety Committee.
  • Lead Health & Safety meetings, inspections, emergency preparedness planning, and fire evacuation drills.
  • Maintain Health & Safety documentation, policies, training records, incident logs, and facilities SOPs.
  • Champion ESG practices, e-waste recycling, asset donation, sustainable sourcing, and carbon-footprint reduction.
  • Reconcile facilities and travel invoices, track budgets, identify savings, and report travel spend and compliance.
  • Administer the corporate travel program and manage its vendor relationship and policies.
  • Provide operational support and remote oversight for the Montreal facility and I&V operations, including equipment sourcing, shipments, customs, and facilities projects.
  • Coordinate Health & Safety measures across Toronto and Montreal.

Requirements

  • Undergraduate degree in facilities management, business administration, operations, or a related field, or equivalent experience.
  • 5+ years of experience in office operations, facilities, or workplace management, ideally across more than one site.
  • Certification or working toward certification as a Health & Safety representative (e.g., JHSC certification; CRSP is an asset).
  • Demonstrated experience managing vendor contracts, budgets, and service-level agreements.
  • Experience supporting onboarding, workplace culture, or employee experience initiatives is an asset.
  • Comfort working with workplace technology such as reservation systems, ticketing tools, and access-control software.
  • Sound judgment operating cross-functionally with Legal, Finance, HR, IT, and Cybersecurity.
  • Experience administering a corporate travel program, including vendor management and invoice reconciliation, is an asset.
