About the role

  • Finance coordinator managing IJM Canada’s donation data, reconciliations, tax filings, and vendor payments. Supporting office operations, facilities, and administrative processes in Mississauga.

Responsibilities

  • Maintain accurate and current Salesforce donor data
  • Track and resolve Salesforce data errors with the IJM Global Technology Services Salesforce team
  • Participate in monthly NACRM Governance Meetings and recommend process improvements
  • Support offline gift processing, including mail batches, PayPal, Square, and Dressember
  • Receive and enter donation information from Stripe, cheques, and preauthorized debit into the relevant database
  • Scan and attach original documentation for monthly supporters
  • Facilitate recurring donations and follow up on declined or expired payments
  • Facilitate gifts in honour or memory of individuals and company matching gifts
  • Monitor and clear Integration Logs, run Job Requests, and check Stripe data integrity
  • Review and repair donation reports before Finance reconciliation and make adjustments based on Finance queries
  • Reconcile Salesforce donation information with accounting software
  • Assist with month-end close, including depreciation and prepaid expense journal entries
  • Prepare and file government remittances and regulatory reports, including WSIB and HST filings
  • Record and reconcile expenses
  • Process invoices, staff reimbursements, and credit card payments accurately and promptly
  • Reconcile corporate credit cards monthly
  • Support vendor management and compliance
  • Prepare T4A, T4-NR, and other tax documents
  • Support the Director of Finance during the annual financial audit
  • Coordinate property management and administrative vendors
  • Manage office supply inventory
  • Scan and retain required forms and documents
  • Answer incoming phone calls and welcome guests to the IJM Canada office
  • Support safe office facilities and act as the organization’s Health and Safety Representative
  • Provide logistical support to board and all-staff meetings
  • Support cross-departmental collaboration and recurring coordinator office hours
  • Participate in IJM’s community of spiritual formation
  • Report to the Director of Finance & Administration; no direct reports

Requirements

  • 1-2 years of professional experience
  • 1-2 years of experience in data entry and financial administration
  • Bachelor’s degree
  • Proven ability to provide professional customer service to a variety of constituents
  • Strong proficiency in Microsoft Office applications, including Word and Excel
  • Advanced Excel skills, including pivot tables, formulas, and data analysis
  • Demonstrated experience using QuickBooks Online
  • Exceptional written and oral communication ability
  • Ability to manage and maintain accurate data
  • Ability and willingness to learn different software platforms
  • Familiarity with back-end platforms and workflows
