About the role

  • Client Relations & Events Coordinator supporting events, gifting, Salesforce reporting, and client experiences. Hybrid Calgary role at Canadian law firm McCarthy Tétrault.

Responsibilities

  • Support the National Events team and Client Relations and gifting activities
  • Support planning and execution of in-person, hybrid and virtual events
  • Research, source and book venues, entertainment, gifting and other services
  • Prepare onsite event materials
  • Assist with onsite event registration and event delivery
  • Monitor shared inboxes and respond to client event inquiries
  • Update RSVPs and attendance in Salesforce
  • Prepare event reports, metrics and data analysis
  • Coordinate seasonal and ad hoc client gifting initiatives
  • Process invoices and reconcile credit card statements
  • Prepare and process event recordings for client distribution
  • Collaborate with firm teams to fulfill event and gifting needs
  • Keep the Client Relations Manager informed of project progress and escalation issues
  • Contribute to Client and Markets and Client Relations team initiatives and special projects

Requirements

  • Minimum of 2 years of relevant work experience
  • Post-Secondary education in business, marketing, communications, and/or diploma in event management is an asset
  • Experience with virtual event platforms is an asset
  • Bilingualism (French and English) is an asset but is not required
  • Proficiency with MS Office suite
  • Ability to quickly learn and leverage new technology solutions
  • Experience working with Salesforce and SharePoint is an asset
  • Professional maturity, including strong interpersonal skills, tact and discretion
  • Excellent oral and written communication skills
  • Excellent organizational skills
  • High attention to detail and commitment to quality
  • Ability to handle multiple tasks simultaneously and set priorities with challenging deadlines
  • Ability to complete designated tasks systematically and logically
  • Ability to work in a demanding, fast-paced environment

  • Flexibility to work extra hours during peak periods and regularly outside normal business hours
