Secretary supporting Nova Scotia’s Victim Services program for crime victims. Managing administrative operations, client contact, records, meetings, invoices, and regional office support.
Responsibilities
Assist in delivering services to victims of crime through secretarial and administrative functions for the Provincial Victim Services Program
Provide administrative support to Regional offices and Head Office, including support for senior program staff
Answer the main phone line and prepare correspondence
Manage databases and prepare statistics using spreadsheets
Provide front desk coverage and direct victims, the public, and justice partners to appropriate services
Code-block invoices for signature and payment
Book in-person and virtual meetings
Open, prepare, and distribute mail
Maintain electronic filing systems and Regional Office general email accounts
Order office supplies and printed materials
Prepare quotations for off-site training events
Take meeting minutes
Support administrative assistants and perform other related duties
Requirements
One year secretarial or commercial course supplemented by three years of related secretarial experience, including experience dealing with traumatic events
Equivalent combination of training and experience may be considered
Four years of related work experience may qualify as an equivalency
Proficiency in typing, word processing, Microsoft Word, Excel, Outlook, and internet use
Ability to multitask and prioritize work
Skill managing electronic filing systems
Organized and adaptable in a fast-paced environment
Strong interpersonal, verbal communication, written communication, and organizational skills
Ability to work independently and as part of a team
Sensitivity to client needs, tact, sound judgment, discretion, and confidentiality
Knowledge of the Justice Enterprise Information Network (JEIN), issues impacting victims, work experience in the criminal justice system, and trauma-informed training are assets
Bilingual oral and written English and French are assets
Satisfactory completion of applicable background checks and credential confirmation
