About the role

  • Education Coordinator administering learner scheduling, onboarding, and medical education programs across Scarborough Health Network hospitals. Coordinating University of Toronto partnerships, faculty appointments, evaluations, and educational events.

Responsibilities

  • Support planning, development, and implementation of undergraduate and postgraduate medical education programs
  • Develop and maintain master schedules for clinical rotations, seminars, and OSCEs
  • Manage learner registration, onboarding, access provisions, orientation, and training
  • Maintain trainee records, schedules, and program databases
  • Validate Medical Trainee Days and manage preceptor payments, teaching hours, tracking, reconciliation, and processing
  • Coordinate curriculum changes and support Physician Education Lead contract renewals and fellowship contract development
  • Develop presentations, program plans, evaluations, and other program materials
  • Liaise with learners, clinical departments, Medical Affairs, Professional Practice, the University of Toronto, Scarborough Academy of Medicine, and external stakeholders
  • Coordinate faculty development, clinical teaching, and faculty appointments
  • Support hospital faculty appointment processes
  • Draft letters of support, program announcements, reports, and other professional communications
  • Coordinate departmental education meetings, agendas, minutes, and follow-ups
  • Manage learner issues and risks and develop mitigation strategies with Education leadership
  • Lead educational events and special projects
  • Assist with medical education policies, procedures, and process improvements
  • Monitor, evaluate, and report on learner feedback and program evaluations
  • Ensure data accuracy for learner records, compliance reporting, and accreditation standards
  • Develop and maintain tracking systems for onboarding, evaluations, and faculty appointments
  • Perform other duties as required by the Director, Education and Executive Vice President, Academics

Requirements

  • Undergraduate degree in a relevant field or higher
  • Minimum of three years of related administrative experience, preferably in a hospital or post-secondary environment
  • Demonstrated student services’ experience and understanding of hospital-based clinical training
  • Knowledge of academic processes, including faculty appointments, scheduling, student reports, and evaluation systems
  • Familiarity with University of Toronto medical education systems preferred, including T-IME, POWER, MedSIS, Elentra, and AFMC Portal
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Superior organizational, time management, and administrative skills
  • Strong customer service orientation and stakeholder management abilities
  • Excellent written and verbal communication skills, including professional-level communications
  • Ability to manage competing priorities and work independently in a fast-paced environment while maintaining accuracy and quality
  • Exceptional problem-solving, analytical, and conflict-resolution skills
  • Ability to exercise discretion, diplomacy, and sound judgment on confidential matters
