About the role

  • Support Assistant B processing municipal licensing applications, records, customer inquiries and financial transactions for Toronto Public Service. Coordinating administrative workflows, documents, schedules and staff support.

Responsibilities

  • Perform varied administrative tasks involving preparation, research, summarization and reconciliation of data
  • Control and expedite documents, data, revenues and cash
  • Prepare and process documents, statistical summaries and reports
  • Assess and analyze data
  • Draft and sign correspondence
  • Check work for accuracy and conformity with regulations, policies and procedures; correct and resolve outstanding or incorrect items
  • Identify issues and recommend solutions
  • Perform complex calculations
  • Direct, coordinate, schedule and train assigned staff
  • Check and verify assigned staff’s work
  • Operate office equipment and computers using various software packages
  • Prepare presentation materials using detailed layout and formatting
  • Coordinate and maintain complex records and retrieval systems
  • Maintain supplies inventories
  • Respond to email, telephone and in-person inquiries from senior staff, the public, agencies and other levels of government
  • Review, accept or reject public materials and applications against required criteria
  • Receive and pay out cash and cheques; control, monitor and balance petty cash
  • Prepare bank deposits, withdrawals and reconciliations; process and check financial payments
  • Assist with unit budget administration
  • Coordinate meetings, events and schedules
  • Take and transcribe minutes

Requirements

  • Considerable experience working in a high-volume, fast-paced, front-line, customer service-oriented environment or contact centre, performing clerical and administrative tasks
  • Considerable experience using computerized case management, records management and business systems, including Licensing System, ICON, Captiva, T-Recs, Front Desk, IBMS and SAP
  • Considerable experience using Microsoft Office Suite, including Word, Excel and Outlook, to create and format documents, spreadsheets and POS/bank reconciliations
  • Considerable experience reviewing, verifying and processing sensitive personal and corporate documents for applications processing and data entry, in-person and online, in hardcopy and digital formats
  • Excellent interpersonal, organizational, analytical, multitasking, problem-solving and decision-making skills
  • Ability to set priorities, coordinate diverse workloads, meet tight deadlines and work with minimal supervision
  • Excellent keyboarding, proofreading and high-volume, accurate data-entry skills
  • Ability to work in a high-pressure, high-volume team environment and deal directly with the public
  • Ability to write clearly, concisely and legibly
  • Ability to exercise independent judgment and discretion with confidential operational matters
  • Ability to compile financial data and statistical summaries and balance documents
  • Ability to support Toronto Public Service values, equity, diversity and respectful workplaces
  • General knowledge of court proceedings and tribunal processes and procedures
  • Knowledge of relevant bylaws, including Toronto Municipal Code Chapters 545 and 546, and government legislation, regulations, policies, practices and procedures
