About the role

  • Donor Relations Coordinator supporting donor communications, data management, and fundraising programs. Improving file health and reporting for a Canadian hospital foundation’s Direct Marketing team.

Responsibilities

  • Support the Direct Marketing team responsible for 13% of the Foundation’s gross revenue
  • Serve as the primary point of contact for Face-to-Face donors
  • Execute conversion, upgrade, and loss aversion programs to improve overall file health
  • Follow up on cancellations and payment declines to retain recurring gifts or secure additional giving
  • Manage inbound and outbound donor communications
  • Ensure exceptional donor experiences and foster long-term relationships
  • Triage and capture donor communications in Raiser’s Edge
  • Respond to inquiries across all channels and resolve donor concerns
  • Manage acknowledgements and correspondence
  • Provide monthly reports on donor relations activities
  • Receive, verify, and approve acquisition files from vendors
  • Ensure vendor files are received on schedule and flag delays
  • Check file format accuracy and return files to vendors for corrections
  • Check for duplicate acquisitions and non-compliant records, suppress records, and notify vendors of declined records
  • Manage invoicing, tracking, reconciliation, and reporting on program finances
  • Assist with other duties and special projects supporting the Direct Marketing team

Requirements

  • Proficient in Excel, including managing data files, creating pivot charts, and generating comprehensive reports
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience with Blackbaud Raiser’s Edge, NXT, and Luminate
  • Experience with PowerBI
  • Keen interest in donor relations, fundraising direct marketing, and desire to learn and develop as a fundraiser
  • 1+ years of relevant experience, including fundraising database management, donor relations, stewardship, recognition, and annual giving
  • Strong writing, editing, and proofreading skills
  • Ability to write for different audiences and platforms
  • Experience with donor databases, email marketing, and social media platforms
  • College diploma in Fundraising, Business Administration, Communications, Marketing, or a related discipline
  • Willingness to work flexible hours and to tight deadlines; some after-hours work may be required
  • Valid driver’s license and access to a reliable vehicle an asset
