About the role

  • Faculty administrative assistant supporting the University of Alberta’s Education faculty. Coordinating executive support, academic hiring, programs, events, and Dean’s Office projects.

Responsibilities

  • Provide general administrative support for the Faculty of Education Dean’s Office Administration Team, including compiling data, preparing documents and reports, and maintaining records
  • Provide executive assistant support for Faculty of Education leaders, including correspondence, calendar management, meeting organization, and room bookings
  • Provide program support, including compiling data, updating manuals, maintaining information repositories, and supporting accreditation activities
  • Manage academic hires by coordinating committees, booking travel, arranging visits and interviews, and gathering confidential feedback
  • Support Dean’s Office special projects, including centralizing faculty operational tasks, establishing and revising processes, and organizing special events
  • Serve as the first point of contact for the Faculty of Education Administrative Office and greet and respond to instructors and staff
  • Perform other duties as assigned

Requirements

  • Diploma in Business Administration or Management (or equivalent)
  • Experience providing executive assistant support, preferably to an academic leader
  • Experience providing administrative support to an academic unit
  • Knowledge of the post-secondary environment, preferably within the University of Alberta
  • Tact and professionalism for negotiation, conflict resolution, and handling highly confidential matters
  • Ability to prioritize competing tasks and manage time and workload to meet deadlines
  • Ability to adapt and pivot to rapidly changing demands
  • Excellent organizational skills and attention to detail
  • Problem-solving and critical thinking skills
  • Excellent oral and written communication skills with diverse stakeholders
  • Interpersonal skills demonstrating professionalism, confidentiality, and diplomacy
  • Ability to self-start and anticipate faculty and staff needs
  • Ability to work independently with minimal guidance and collaboratively
  • Ability to develop and maintain positive, professional working relationships at all organizational levels
  • Advanced knowledge of the entire Office suite and Google suite
  • Experience or knowledge of social media and web content management systems

  • Understanding of practices that ensure access, foster community connections, and increase belonging
