About the role

  • Student Commons Administrator welcoming University of Alberta students and visitors. Managing space bookings, technology support, events, safety, and General Office operations.

Responsibilities

  • Carry out opening and closing procedures, including unlocking the front door
  • Manage the space booking system and train users to book space
  • Diffuse visitor-facing situations and identify when assistance is required
  • Tidy and maintain the Student Commons and café area
  • Operate and maintain café equipment, including coffee machines, sinks, and refrigerators
  • Support technology operations, troubleshoot issues, report problems, and ensure resolution
  • Sign technology supplies and other items in and out, maintain inventories, and follow up on unreturned items
  • Uphold the space code of conduct and intervene or escalate when needed
  • Assist space tenants with accessing and using the space
  • Provide students with information about campus services, health and wellness supports, and student advising
  • Educate students on booking appointments with academic and career advisors and promote these services
  • Identify and implement opportunities to enhance the student experience
  • Coordinate student activities and connect with contracted services
  • Assist with Alberta School of Business events hosted in the Carruthers Student Commons
  • Provide backup for General Office operations, including vacation, emergency, and illness coverage
  • Contact appropriate trades, building services, AICT, Help Desk, technology groups, and classroom technology services according to urgency
  • Maintain communication with all involved parties
  • Process Business Boutique purchases and record goods sold
  • Organize General Office supplies and basement storage rooms
  • Track key and equipment usage and ensure returns
  • Accompany individuals to the basement storage room
  • Stamp and approve bulletin-board postings according to policy and procedures
  • Document and monitor first-aid-kit usage
  • Prepare packages and resources for distribution
  • Perform General Office opening and closing procedures, including alarms, keys, drawers, and storage rooms
  • Manage key allocation, retrieval, inventory, and documentation
  • Collect, store, and distribute checks for departments and business student organizations
  • Monitor secured safes used by student clubs
  • Perform initial photocopier, AV equipment, and laptop maintenance and troubleshooting; arrange servicing and report replacement needs

Requirements

  • At least 2 years of post-secondary education is required
  • Post-secondary education in a related field is preferred, including Events, Office Administration, Business, Education, or Library and Information Studies, or equivalent
  • 1–2 years of experience working in an office setting, preferably in a post-secondary environment
  • High level of customer service skills
  • Excellent written and oral communication, organizational, and interpersonal skills
  • Strong computer skills and ability to learn software programs quickly
  • Proficiency with Microsoft Office and Google Suite
  • Ability to work in a busy area with frequent interruptions
  • Ability to work independently as a proactive self-starter
  • Problem-solving, risk mitigation, judgment, adaptability, and response skills
  • Knowledge of and sensitivity to health and wellness topics
  • Mental health first aid training is an asset; training will be provided if needed
  • Knowledge of event systems technology, including panel systems, AV inputs and outputs, signal flow, simple sound setups, microphones, speakers, and basic sound troubleshooting
  • Effective time management and follow-up skills
  • Willingness to learn and develop new skills
