Project Accountant supporting contracts, budgets, billing, and receivables for Ware Malcomb’s commercial real estate design projects. Hybrid role in Vaughan, Ontario, collaborating with project teams and clients.
Responsibilities
Analyze projects from start to finish and provide specialized administrative support to regional offices
Process accurate contracts, budget reports, billing, and accounts receivable activities
Prepare, maintain, and enter project budgets in Deltek Vantagepoint
Review proposals and budgets and prepare standard client and consultant contracts
Update accounting systems for client-specific billing requirements
Coordinate project setup, contract information, revisions, and signatures
Process month-end project close-outs
Generate and distribute monthly billing drafts and prepare invoicing paperwork, payment applications, and waivers
Research and resolve discrepancies between forecasted and actual billing
Respond to invoicing-related calls and emails and train Project Managers on billing processes
Run monthly aging reports, follow up on past-due balances, participate in A/R calls, process invoice revisions, and reconcile A/R ledgers
Review consultant invoices for contract and budget compliance and resolve related issues
Conduct monthly Operations Meetings and improve process consistency and adherence
Guide Project and Office Leaders in accounting-related decisions
Partner with offices on KPIs such as revenue, DSP, and profitability
Collaborate with Project Accountants to maintain consistent procedures and service across regional offices
Requirements
Excellent written and verbal communication skills
Detail-oriented, with strong emphasis on accuracy
Well-organized and thorough
Experience with Microsoft Office applications
Experience with Deltek Vision/Vantagepoint software is a plus
Knowledge of basic construction lien forms is a plus
Experience with billing and completing payment applications, lien waivers, and releases is a plus
