About the role

  • Legal Assistant supporting three Information Technology/IP lawyers at a Toronto business law firm. Managing legal documents, files, deadlines, accounts, communications, and client records.

Responsibilities

  • Manage and track deadlines, conditional dates, appointments, lawyers’ calendars, and scheduling
  • Prepare status reports summarizing client portfolios
  • Prepare routine legal documents and letters from notes, dictation, instructions, and precedents
  • Open and close electronic files and maintain detailed matter/client lists
  • Maintain the electronic filing system (iManage) for each client matter
  • Run monthly accounts and review entries for accuracy and completeness
  • Enter dockets into accounting software (3E)
  • Manage internal and external communications, including calls, mail, faxes, and email
  • Respond to client inquiries and conduct follow-up as required
  • Enter and update client contact lists in the CRM (InterAction)
  • Work with the Marketing and BD department as required
  • Schedule appointments and meetings, book meeting rooms, and make travel arrangements
  • Coordinate with internal departments to provide documents and materials on time
  • Assess and establish work priorities
  • Support colleagues and cover absences
  • Perform other administrative duties as assigned

Requirements

  • 3–6 years of relevant experience
  • At least three years of experience in Information Technology/IP law
  • Post-secondary education with a Legal Assistant Diploma and/or Law Clerk certificate
  • Proficiency with legal software and MS Office 365, including Word, Excel, Outlook, PowerPoint, and Teams
  • Proficiency with PDF software, including Kofax Power PDF or Adobe
  • Excellent time management, organizational, and prioritization skills
  • Ability to work independently, multitask, and meet tight timelines
  • Eagerness to learn new technology and processes and further develop skills
  • Excellent attention to detail and diligent proofreading skills
  • Strong interpersonal skills and ability to work effectively as part of a team
  • Initiative and resourcefulness
  • Commitment to providing quality service and work product to lawyers and clients
  • Good judgment and ability to exercise discretion with confidential and sensitive matters
