About the role

  • Litigation Legal Assistant supporting three municipal and planning lawyers in Toronto. Drafting court documents, managing filings and deadlines, and coordinating legal administration.

Responsibilities

  • Support three lawyers in the Municipal and Planning practice.
  • Draft and prepare pleadings, notices of motion, notices of application, affidavits, facta, presentations, correspondence, and other legal documents.
  • Assist with trial and hearing preparation, including compiling records and briefs.
  • Arrange service and filing of legal documents with process servers, agents, courts, and tribunals.
  • Manage deadlines, conditional dates, appointments, lawyer calendars, court dates, and scheduling.
  • Open and close electronic files and maintain detailed matter/client lists and iManage filing systems.
  • Run monthly accounts and review entries for accuracy and completeness.
  • Enter dockets into 3E accounting software.
  • Manage internal and external communications, including calls, mail, faxes, and email.
  • Respond to client inquiries and conduct follow-up as required.
  • Update client contact lists in InterAction CRM and work with Marketing and Business Development.
  • Schedule meetings, book meeting rooms, make travel arrangements, and coordinate materials with internal departments.
  • Establish work priorities, support colleagues, and cover absences.
  • Perform other administrative duties as assigned.

Requirements

  • 3–6 years of relevant litigation work experience required.
  • Post-secondary education with a Legal Assistant Diploma and/or Law Clerk certificate.
  • Prior Municipal and Planning Law experience advantageous.
  • Familiarity with Ontario Land Tribunal scheduling and filing processes, Toronto and Ontario courts, and CaseLines is an asset.
  • Thorough knowledge of legal terminology, procedures, and statutes.
  • Strong working knowledge of the Rules of Civil Procedure, OLT Rules, and litigation steps and stages.
  • Proficiency with legal software and Microsoft Office 365, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Proficiency with PDF software such as Kofax Power PDF or Adobe.
  • Proficiency with ACL (Automated Civil Litigation), Ontario court forms, and litigation documents.
  • Excellent time management, organizational, prioritization, proofreading, and attention-to-detail skills.
  • Ability to work independently and within tight timelines.
  • Willingness to learn new technology and processes and further develop skills.
  • Strong interpersonal skills and ability to work as part of a team.
  • Commitment to providing quality service and work product to lawyers, clients, and the court.
  • Good judgment and discretion when handling confidential and sensitive matters.
