Legal Assistant supporting three senior corporate law clerks at a Toronto law firm.
Preparing transactional documents, managing files, calendars, invoices, minute books, and client records.
Responsibilities
Support three senior corporate law clerks in the Corporate practice group
Prepare and/or draft transactional documents, forms, presentations, and correspondence
Type correspondence and transactional documents from handwritten notes, phone, or verbal instructions
Manage and track deadlines and appointments, including Outlook calendars
Perform filing and update client information
Open and close physical and electronic files and maintain matter/client lists
Maintain the electronic filing system using iManage
Process and track third-party vendor invoices for corporate searches using Emburse
Organize physical minute books and transition them to MinuteBox digital records
Enter and update client contact lists in InterAction
Work with Marketing and Business Development as required
Book meeting rooms and coordinate with internal departments to meet client needs
Continually assess and establish work priorities
Provide coverage for colleague absences and perform other assigned administrative duties
Requirements
At least two to three years of prior work experience in corporate law (transactional desk)
Post-secondary education with a Legal Assistant Diploma and/or Law Clerk certificate
Strong understanding and knowledge of legal terminology, procedures, and corporate transactions
Proficiency with iManage, 3E, InterAction, MinuteBox, and MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams)
Proficiency with Kofax Power PDF
Excellent time management, prioritization, and follow-up skills
Excellent attention to detail, accuracy, and proofreading skills
Ability to work independently within tight timelines
Ability to take initiative and be resourceful
Commitment to providing quality service and work product to clients
Strong verbal and written communication and organizational skills
