About the role

  • Office Administrator managing daily operations, facilities, safety, and workplace services at Alberta Blue Cross’s Calgary health-insurance office. Coordinating supplies, access, vendors, meetings, equipment, and records.

Responsibilities

  • Greet and assist customers, visitors, and vendors
  • Manage daily office operations and workplace services
  • Manage courier, mail, outgoing deliveries, office supplies, and kitchen supplies
  • Coordinate IT equipment distribution, pickups, and returns
  • Coordinate conference and meeting room bookings, room setup, and post-meeting cleanup
  • Coordinate office maintenance, furniture repairs, and facility-related service requests
  • Administer employee security access cards, office floor and building access, and visitor sign-in procedures
  • Manage workplace health, safety, and emergency protocols
  • Coordinate inspections, maintenance, and reporting
  • Replenish first aid supplies and safety notices
  • Act as Floor Warden during evacuations and participate in Blue Watch Committee workplace safety and emergency preparedness activities
  • Manage secure document disposal bins and oversee pickups
  • Support records handling requirements in accordance with records management policy
  • Upload, organize, and maintain electronic documents in a centralized document management system
  • Coordinate with internal employees, Edmonton-based departments, building management, service vendors, and support teams

Requirements

  • Post-secondary education in office administration or facilities coordination is considered an asset; relative work experience may be considered instead
  • Demonstrated experience in office administration, workplace service and/or facilities coordination
  • Exceptional time management and organizational skills with a high degree of accuracy
  • Ability to manage competing priorities and work in a fast-paced environment with attention to detail
  • Excellent written and verbal communication skills
  • Ability to draft clear, concise, and professional correspondence
  • Ability to maintain professionalism, discretion, and confidentiality
  • Expertise with Microsoft Word, Excel, Outlook, and PowerPoint
  • Demonstrated ability to deal with confidential information
  • Ability to flex priorities with limited timelines and meet deadlines
  • Satisfactory criminal record check required as a condition of employment following a conditional offer
