About the role

  • Executive Assistant supporting Manulife insurance executives with advanced administration, coordination, and communications. Managing projects, meetings, travel, expenses, and stakeholder follow-up in Toronto’s hybrid financial-services environment.

Responsibilities

  • Provide diverse and advanced administrative support to the VP, Growth & Go-to-Market, Head of Behavioral Insurance Canada, and Head of Product and Pricing, Individual Insurance Canada
  • Support and communicate on behalf of executives using technical and business knowledge, company policies, and organizational awareness
  • Proactively manage executive details and take action within established guidelines
  • Manage assigned projects and priorities, ensuring accurate and timely completion
  • Facilitate communication between executives and internal and external stakeholders
  • Coordinate and delegate follow-up actions related to executive commitments, monitor progress, and keep executives informed
  • Prioritize telephone calls and meeting requests and respond to potentially urgent matters
  • Prioritize and summarize incoming mail, reports, articles, and competitor packages
  • Schedule meetings and prepare agendas
  • Provide day-to-day office coordination and address operational and administrative needs
  • Interact with internal and external executives to obtain and provide information
  • Prepare reports, spreadsheets, presentations, and professional documents using various applications and tools
  • Arrange and coordinate travel and meeting schedules, including travel agendas
  • Complete expense reports and maintain detailed expense records
  • Improve efficiency of administrative and support functions
  • Oversee or collaborate on special projects and initiatives

Requirements

  • Bachelor’s degree preferred
  • High School diploma and advanced secretarial certificate
  • 7 plus years of related secretarial or administrative assistant experience
  • 5–7 years of related experience
  • Proficiency in all MS Office applications
  • Broad understanding of the organization’s policies and practices
  • Competencies in Activity Coordination, Business Partnering, Prioritization, and Service Delivery Effectiveness
  • Troubleshooting/Technical Support knowledge
