About the role

  • Bilingual administrative assistant supporting talent management, recruitment, learning, and Professional Resources operations. Coordinating records, programs, meetings, invoices, and bilingual communications at Canadian law firm McCarthy Tétrault.

Responsibilities

  • Provide administrative and operational support across Professional Resources functions
  • Support lawyer talent management
  • Support recruitment, onboarding, and integration
  • Support performance management and evaluation processes
  • Maintain a bring-forward system for tracking tasks and deliverables
  • Coordinate meeting and event logistics, including scheduling, materials preparation, and follow-up
  • Prepare and maintain confidential files, records, and documentation
  • Support projects, special initiatives, and day-to-day Shared Services operations
  • Assist with MT Academy administration and coordination in English and French
  • Update and maintain the Learning Management System, track attendance, and maintain program entries
  • Create and proof invitations
  • Manage shared MT Academy inboxes and respond to inquiries
  • Organize MT Academy meetings, including agendas and minutes
  • Prepare plans, reports, and charts tracking program updates
  • Maintain programming communication templates in English and French
  • Develop protocols and tracking systems
  • Update the firm intranet and create new pages and resources
  • Coordinate payments for consultant invoices, professional fees, program registrations, and other expenses
  • Assist with translation and review of communications and materials
  • Provide administrative and project support for Professional Resources initiatives
  • Perform other duties and special projects as assigned

Requirements

  • Minimum of three years of administrative experience
  • Experience preferably within a law firm or other professional services environment
  • Post-secondary diploma
  • Fluent bilingualism in French and English
  • Experience with Workday considered a strong asset
  • Excellent organizational, proofreading, spelling, and grammar skills
  • Strong attention to detail
  • Exceptional verbal and written communication skills
  • Demonstrated initiative, resourcefulness, and accountability
  • Ability to work effectively in a fast-paced environment and manage competing priorities
  • Ability to adapt to changing business needs
  • Ability to handle multiple assignments while maintaining accuracy and service delivery
  • Strong time management, planning, and prioritization skills
  • Ability to meet critical deadlines
  • Ability to work independently with minimal supervision and exercise sound judgment
  • Ability to handle confidential and sensitive information with discretion and professionalism
