About the role

  • Coordinator at Mila handling AI governance initiatives and event logistics. Promoting the research ecosystem through collaboration and strategic coordination.

Responsibilities

  • Coordinate the planning, logistics, and execution of events, ensuring visibility for the team’s projects;
  • Establish, maintain, and activate the network of Mila researchers strongly engaged in responsible AI and AI governance (manage communication channels, build connections, and support researchers in promoting and showcasing their work);
  • Formalize clear engagement models to involve and integrate these members of the research community into AI governance projects;
  • Actively collaborate with internal teams to highlight and increase visibility of governance research through the website, newsletters, memos, or internal events;
  • Conduct strategic monitoring by tracking various information sources on AI governance, preparing press or sector literature reviews, and compiling relevant information to inform the team and community;
  • Maintain and organize the internal knowledge database on AI governance;
  • Document lessons learned and discussions from community-of-practice meetings on AI governance;
  • Ensure the graphic formatting/design of training materials and documents.

Requirements

  • Bachelor’s degree in administration, project management, communications, political science, public affairs, or a related field;
  • A minimum of 2–3 years’ experience in project coordination, event management, or community facilitation (experience in an academic, research, or innovation environment is a strong asset);
  • Excellent command of French and English, both spoken and written (bilingual environment);
  • Exceptional organizational skills, rigor, and a proven ability to manage multiple projects simultaneously, prioritize urgent tasks, and execute complex logistical events;
  • Strong interpersonal skills, diplomacy, and ease interacting with high-level stakeholders (faculty, executive leadership, external partners);
  • A strong interest in artificial intelligence, AI ethics, public policy, or technology governance;
  • Autonomy, initiative, attention to detail (particularly for information monitoring), and the ability to work with minimal day-to-day supervision;
  • Ability to work cross-functionally with different internal teams.
