About the role

  • PMO Operations Lead standardizing governance, portfolio visibility, and automation for nesto Cloud, a Canadian B2B mortgage technology platform. Improving project quality and reducing administrative work for Project Managers.

Responsibilities

  • Own and maintain planning and reporting templates across projects, including status reports, RAID logs, and phase-gate checklists
  • Define and improve standard use of Wrike and other project management tools
  • Ensure new projects are set up with standard structures from kickoff
  • Version-control template changes and deploy standards through change management plans
  • Act as the internal Wrike expert for structures, custom fields, dependencies, and workflows
  • Conduct recurring reviews of active project plans and flag structural issues to Project Managers
  • Review project plans for sequencing, risks, assumptions, dependencies, and completeness before external milestones or phase gates
  • Constructively challenge optimistic or incomplete plans and advise Project Managers
  • Surface cross-project patterns, resource conflicts, and timeline collisions
  • Maintain a rolled-up portfolio view of status, risks, and resource loads
  • Prepare portfolio-level summaries for the PMO Director
  • Identify and automate repetitive reporting and project setup tasks using Wrike, dashboards, scripts, or connectors
  • Build early-warning triggers for overdue tasks and at-risk dependencies
  • Run workshops and retrospectives that result in decisions
  • Report to the Director of PMO and work across teams without formal authority

Requirements

  • 8+ years of professional experience
  • 5+ years of hands-on project or program management experience
  • Project operations or PMO background
  • Experience owning and configuring a PPM tool such as Wrike, including structures, custom fields, dependencies, and workflows
  • Process and automation mindset, including building automation with AI
  • Ability to identify meaningful project risks and constructively challenge Project Managers' plans
  • Structured communication and ability to create clear portfolio views for leadership
  • Ability to work across teams without formal authority
  • Experience using AI tools such as Claude or Gemini to improve workflows
  • Change management experience rolling out processes or tools and driving adoption
  • Facilitation skills for workshops and retrospectives
  • Comfort presenting to senior stakeholders
  • PMP, Certified ScrumMaster, and/or other agile project management certifications are nice-to-have
  • Experience with financial institutions, mortgage or lending technology, or regulated B2B environments is nice-to-have
  • French is an asset, not a requirement
  • Candidates must be located in Canada
