About the role

  • HR Leave Specialist administering FMLA, ADA, and employee accommodations for Sunbelt Rentals, an equipment rental company. Managing leave records, disability claims, policy compliance, and return-to-work coordination.

Responsibilities

  • Communicate with employees about leave needs, modified work schedules, responsibilities, and required documentation
  • Administer FMLA leave from initial notice through return to work
  • Gather and complete paperwork, determine eligibility, issue leave paperwork, designate qualifying leave, request medical certification, and track intermittent/reduced-schedule leave
  • Maintain communication with employees on leave and relay information between employees and managers
  • Advise managers and employees on leave laws, paid time off, and disability benefits
  • Oversee return-to-work processes for extended FMLA, military, and other leave
  • Facilitate accommodation requests and intermittent leave under the ADA
  • Collaborate with HR and employee managers on leave approvals and denials
  • Draft or recommend revisions to leave policies for legal compliance
  • Maintain accurate leave and accommodation records
  • Preserve confidentiality of employee medical documentation and files
  • Maintain knowledge of FMLA, ADA, and state/local leave and accommodation laws
  • Work with the disability provider to ensure claims are filed correctly
  • Track employee leave information in Abentys (Leavelink)
  • Update employee leave status in Workday
  • Coordinate return to work and accommodations
  • Assist with HRIS testing as needed
  • Perform other duties as assigned

Requirements

  • Bachelor’s Degree or equivalent experience
  • 2-3 years of administering leave of absence or related experience
  • Extensive knowledge of leave requirements and legal protections under FMLA, ADA, and other applicable laws
  • Ability to process multiple requests and maintain a high level of organization
  • Strong follow-through skills and ability to resolve issues in a fast-paced environment
  • Effective communication and high-level service across all organizational levels
  • Excellent verbal and written communication skills
  • Ability to maintain highly confidential employee personal health information and files
  • HIPAA compliance knowledge
  • Workday experience preferred
  • Ability to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required
  • Compliance with Sunbelt’s safety policies and guidelines
  • Ability to work under potentially varied conditions, including extended driving, heavy-equipment loading/unloading, extreme weather, nights, and weekends, where required
  • Ability to meet reasonable ADA/ADAAA accommodation requirements
