About the role

  • Executive Assistant supporting multiple TD executives at a global banking institution. Managing calendars, travel, expenses, meetings, and confidential administrative operations.

Responsibilities

  • Provide dedicated executive assistance to several TD executives
  • Provide administrative and general workplace support to the broader team
  • Manage calendars for multiple leaders and troubleshoot scheduling conflicts
  • Coordinate national and international travel, including delay-related rescheduling
  • Reschedule meetings with internal and external parties
  • Process team expenses in a timely manner
  • Assist with onboarding and offboarding activities, including asset management, access management, and supply orders
  • Coordinate in-office and virtual meetings, town halls, and offsite events
  • Book meeting spaces, develop agendas, set up technology, proofread and amalgamate PowerPoint decks, troubleshoot events, and order catering
  • Handle leaders’ emails when needed while maintaining confidentiality
  • Complete ad-hoc administrative tasks such as reports, invoices, communications, tables, charts, and files accurately
  • Regularly update the immediate team on project status and day-to-day activities
  • Provide vacation and temporary coverage for colleagues and support additional leaders
  • Train new Executive Assistants and act as a subject matter expert for common tasks
  • Work autonomously with leaders and partner with Special Assistants or other leaders on unique tasks
  • Provide professional, high-quality support and contribute to a positive work environment

Requirements

  • High school diploma with 3 to 5 years of relevant experience
  • Extensive knowledge of Microsoft Office Suite and internet applications, including Outlook, PowerPoint, and Word
  • Ability to work independently and as part of a team
  • Flexibility to coordinate processes and information across related teams
  • Ability to collaborate with other Executive Assistants and internal and external partners
  • Ability to perform efficiently in a multi-task environment and meet deadlines
  • Ability to interpret TD policies and help executives apply these standards
  • Experience coordinating travel arrangements and managing frequent changes
  • Strong organizational skills
  • Excellent communication skills, including active listening, asking questions, and effective communication
  • Strong judgment and discretion when handling confidential information
