About the role

  • Support Assistant providing document processing and administrative support for Torys’ Toronto law office. Preparing filings, binders and closing books while supporting legal assistants, principals and visiting lawyers.

Responsibilities

  • Provide routine administrative support to legal assistants and principals across the Toronto office, including visiting lawyers
  • Code, bookmark, quality-check, organize, print, scan, reproduce, sort, collate and finish documents
  • Complete a high volume of work accurately
  • Assist with electronic filing according to instructions and firm/practice group guidelines
  • Support visiting lawyers by ensuring office supplies and equipment are available and operational
  • Ensure principals know who to contact for document support during and after hours
  • Liaise with visiting lawyers’ assistants to coordinate and confirm travel arrangements and arrival requirements
  • Prepare Cerlox binders, closing folders and closing books
  • Coordinate vacation, breaks, lunches and absenteeism with team/quad members to support assistants and principals
  • Perform ad hoc duties such as data entry

Requirements

  • 1 year of related experience, preferably within a professional services firm
  • Experience working with photocopiers, scanners and binding equipment
  • Strong working knowledge of the MS Office product suite
  • Knowledge of PDF creator and editor software such as Adobe Acrobat or Nuance Power PDF
  • Experience using an electronic document management system would be an asset
  • Strong client service orientation and ability to manage multiple client needs simultaneously
  • Excellent organizational skills and ability to plan, prioritize and manage time effectively
  • Ability to work independently and collaboratively in a team environment
  • Excellent verbal, written and interpersonal communication skills
  • Exceptional attention to detail
  • Ability to follow instructions and standard work processes for routine tasks
  • Ability to quickly adapt to and learn new technology
  • Ability to work in the office 5 days per week from 4:00 p.m. to 12:00 a.m.
  • Successful completion of criminal record, social media, employment and educational background checks
