Responsibilities
Coordinate Killam events, including the Annual Meeting, Connector Event, and other awards-related events, workshops, and information sessions
Schedule meetings, prepare agendas and materials, record meeting minutes, and support event logistics
Compile reports and recipient information and coordinate communications with internal partners
Track event timelines, budgets, and vendor relationships
Coordinate the administration of graduate award competitions, including the Killam Scholarship and Postdoctoral Fellowship competitions
Compile and organize award applications in collaboration with the Awards team
Enter and maintain award information in university systems
Respond to student inquiries regarding awards, application processes, and payments
Manage and triage FreshService tickets and direct inquiries to the appropriate team members
Provide administrative support to the Awards team throughout the annual awards cycle
Coordinate communications with internal partners and provide exceptional customer service to students, faculty, and campus stakeholders
Prioritize competing deadlines while maintaining accuracy, confidentiality, and professionalism
Requirements
Post-secondary diploma is required
2-3 years of administrative experience in a postsecondary office environment
Excellent organizational skills with exceptional attention to detail and ability to manage competing priorities
Strong written and verbal communication skills and ability to interact professionally with diverse stakeholders
Excellent customer service skills, sound judgment, and ability to maintain confidentiality
Ability to work independently while contributing effectively as part of a collaborative team
Strong technical proficiency with Microsoft Office and Google Workspace
Experience using enterprise systems such as PeopleSoft or similar platforms
Flexibility and adaptability to thrive in a dynamic, fast-paced environment with changing priorities
