Responsibilities
- This position involves managing mail and document logistics at onsite branch locations, supporting efficient communication and document handling within a dynamic banking environment. Responsibilities include: Sort and distribute incoming mail accurately to designated departments or individuals; Prepare outgoing mail, including postage and packaging, ensuring timeliness; Operate office hardware such as photocopiers, scanners, and mail processing equipment; Scan paper documents into digital formats, verifying accuracy and proper naming conventions; Manage physical and digital filing systems, ensuring secure storage and easy retrieval; Support document digitization and filing processes in collaboration with business owners; Maintain inventory of mailing supplies and equipment, notifying management when replenishment is needed; Adhere to health and safety protocols, including barcode scanning procedures and safety measures in the branch; Follow privacy policies and confidentiality standards when handling sensitive information; Provide regular updates to management regarding processing status and any issues encountered; Remain flexible to support various administrative tasks as business needs evolve.
Requirements
- Highly organized with excellent attention to detail; Strong communication skills, clear and concise in verbal and written interactions; Ability to work independently with minimal supervision; Proficiency operating photocopiers and scanners for at least 2 years; Skilled in the use of MS Office applications, including Outlook, Teams, and Excel for at least 2 years; Ability to adapt quickly to changing priorities and procedures. Nice to Have: Previous experience with document filing and records management; Familiarity with mailroom and shipping processes; Experience working in a banking or financial services environment.
