About the role

  • Support program delivery for patient safety, equity, and engagement through administrative coordination, event management, and stakeholder engagement.

Responsibilities

  • Provide substantial administrative support to the Program Director, Senior Program Lead, and their team;
  • Manage and coordinate program domain events and projects, including online programs and meetings aimed at promoting evidence-informed innovation within health organizations and building connections with health services leaders whose collaboration is essential to ESC's strategic priorities;
  • Support and coordinate programs broadly to assist the team, including preparing briefing materials to aid in program planning and implementation;
  • Maintain various calendars for leadership and the Senior Program Lead (meetings, project deadlines, etc.);
  • Build, maintain, and develop relationships with ESC staff and partners, particularly individuals with lived experience and members of the ESC patient partner network;
  • Reconcile travel authorization forms, expense claims, and credit card charges regularly to keep the expense ledger up to date, as needed;
  • Coordinate internal and external meetings, speaking invitations and conference participation, and travel arrangements; prepare presentations and speeches; screen incoming calls, emails, and correspondence and respond independently where possible;
  • Take rapid notes for emails, letters, proposals, meetings, and events, and record action items for follow-up;
  • Liaise with external vendors to coordinate activities such as meetings and online programs (this includes planning workshops and arranging information sessions);
  • Provide administrative support for online learning platforms; this includes taking initiative to post content, troubleshooting participants' technical issues, and creating and implementing conceptual elements on the learning site.

Requirements

  • College diploma in Office Administration, Business Administration, or a related discipline; or an equivalent combination of education and/or work experience.
  • Minimum of two (2) years of progressive experience in a fast-paced work environment, preferably in a health or non-profit organization.
  • Bilingual (English-French) preferred (Level C – advanced – English communication required).
  • Excellent knowledge of the Microsoft Office suite and virtual environment.
  • Asset: demonstrated ability to work in the health and health services sector, particularly in quality improvement or patient safety.
