About the role

  • Buyer supporting procurement, purchasing, and supplier relationships at Ontario’s cancer research institute. Processing orders, managing vendor accounts, and maintaining procurement controls and records.

Responsibilities

  • Obtain quotes for price, quality, freight, customs and delivery variables for purchase orders and supplies
  • Perform administrative support tasks for the Procurement Department, including arranging appointments, managing schedules, answering calls and inquiries, contacting vendors and suppliers, managing databases, producing reports, and coordinating with departments
  • Review purchase requisitions and process purchase orders
  • Utilize competitive processes for Requests for Proposals and Requests for Quotations to obtain best value for goods and services
  • Manage OICR mobile accounts, including travel packs and new hardware
  • Administer cell phone invoices and purchases of new cell phones
  • Work with Procurement Department members to meet priorities and objectives
  • Develop and maintain relationships with suppliers and internal stakeholders
  • Manage relationships with external clients to achieve high levels of internal customer service
  • Handle order processes through the JDE system and ensure internal controls are met
  • Provide backup support to the Senior Materials Coordinator
  • Maintain records of procurement transactions
  • Reconcile Procurement department p-card transactions
  • Configure requisition approval routes
  • Administer access to core vendor websites and maintain password and ID lists
  • Maintain the Contract Management Database
  • Prepare reports on procurement activities
  • Assist with training users on the procurement workflow

Requirements

  • Completion of a 2-year community college program in Supply Chain, Business or a related field, or recognized equivalent
  • Completed or working towards CSCMP designation
  • Advanced expertise with Microsoft Office, including Word, Excel and Outlook
  • Strong interpersonal skills at all levels within the organization and externally with suppliers
  • Excellent communication and organizational skills
  • Ability to work both independently and in a team environment
  • Initiative, pro-active, action-oriented, a high level of accuracy, detail-oriented, ability to work with a sense of urgency and ability to meet tight timelines
  • Fast learner with proven ability to learn and use multiple software systems
  • Practical accounting knowledge
  • Knowledge of purchasing, costing, purchase price variances and forecasting systems
  • Knowledge and experience with ERP systems (preferable JD Edwards Procurement)
  • Must be available to work from the Toronto office when requested by OICR
