Responsibilities
Act as the first point of contact for internal and external clients
Greet clients and visitors and address their needs
Answer and direct incoming telephone calls, take messages, and provide information
Manage incoming and outgoing mail, courier packages, and cheque requisitions
Schedule and manage boardroom and visitor office bookings
Issue and track employee and visitor access cards
Submit and follow up on building management service requests
Assist with planning and execution of client events, including logistics, setup, vendor booking, and coordination
Support client event logistics, including catering, guest lists, invitations, and RSVP tracking
Provide backup coverage for the Client Services Representative
Coordinate and confirm travel arrangements and office requirements with assistants
Maintain accurate administrative and client service records and documentation
Requirements
1-2 years related experience within a law firm or professional services environment
Proficient in MS Office product suite
Technical aptitude to operate and troubleshoot presentation equipment, teleconference units, video conference units, microphones, computers, fax machines, photocopiers, and switchboard phones
Strong client service orientation and ability to manage multiple client needs simultaneously
Excellent verbal and written communication skills
Ability to interact with individuals at all organizational levels in both English and French
Strong interpersonal skills and ability to work independently and collaboratively
Exceptional organizational skills and ability to handle multiple tasks simultaneously
Ability to work in a fast-paced environment and under tight deadlines with accuracy and attention to detail
Flexible, self-starter capable of working independently and in a group setting
