About the role

  • Part-time remote assistant supporting a Canadian deep-tech company’s COO with administration, coordination, and follow-ups. Managing Aionix Data’s LinkedIn presence using client-provided technical content.

Responsibilities

  • Manage and organize the COO's inbox, email communications, calendar, meetings, appointments, and schedules
  • Identify, prioritize, and organize important emails and follow-ups
  • Draft routine responses when appropriate
  • Track follow-ups, action items, outstanding requests, deadlines, and commitments
  • Organize documents, files, administrative information, trackers, lists, and records
  • Conduct basic online research and prepare documents, reports, presentations, and administrative materials
  • Coordinate routine communications with internal and external stakeholders
  • Proactively flag important or time-sensitive matters to the COO
  • Manage day-to-day LinkedIn activity and maintain a consistent professional presence
  • Publish and schedule client-provided content and repurpose or format materials for LinkedIn
  • Monitor comments, engagement, relevant conversations, and opportunities
  • Respond to relevant comments and questions and escalate technical or sensitive questions
  • Maintain task and follow-up lists, provide updates on completed, pending, and blocked tasks, and support evolving workflows
  • Potential future support may include website/CMS updates, video editing, customer support, and additional digital content coordination
  • Help the COO reduce administrative workload and focus on research, development, operations, and launch priorities

Requirements

  • Minimum initial commitment of 10 hours per week
  • Strong written English communication
  • Professional communication with executives and external stakeholders
  • Executive, administrative, startup operations, operations coordination, project coordination, executive support, social media/community management, or LinkedIn management experience preferred
  • Experience with technology/SaaS, research-oriented, technical/engineering, or deep-tech companies preferred
  • Ability to quickly understand unfamiliar concepts and work professionally around technical subject matter
  • Comfortable learning and using email, calendar, document management, communication, task/project management, LinkedIn/social media management tools, Google Workspace or Microsoft Office/365, spreadsheets, and online trackers
  • Ability to work aligned with the client's working hours/time zone
  • Ability to handle confidential company, business, operational, and technical information responsibly
  • Required to sign a Non-Disclosure Agreement (NDA)
  • Highly organized, reliable, proactive, detail-oriented, adaptable, independent, and able to manage multiple priorities
  • Ability to follow up, close loops, document processes, and escalate sensitive or important matters appropriately
