About the role

  • Experienced Executive Assistant needed to support senior banking executives with calendar management, meeting coordination, and confidential correspondence.

Responsibilities

  • Manage complex calendars and scheduling for VP/SVP level executives. Coordinate and prepare materials for meetings, including agendas and presentations. Handle confidential correspondence and sensitive information with discretion. Arrange travel, accommodations, and logistical details as needed. Assist with email management and prioritize incoming communication. Ensure timely follow-up on action items from meetings. Support administrative tasks such as document preparation and data entry. Collaborate with internal teams and external stakeholders, including OSFI contacts. Maintain organized electronic and physical filing systems. Proactively identify scheduling conflicts and resolve them efficiently. Support onboarding and offboarding processes as required.

Requirements

  • Minimum of 5+ years of experience supporting VP/SVP level executives. Proficiency in MS Office suite, including Outlook, Teams, and OneNote. Exceptional calendar management and organizational skills. Strong attention to detail and accuracy. Highly proactive with a strong sense of urgency. Professional demeanor with excellent communication skills. Ability to handle multiple priorities in fast-paced environments.
