About the role

  • Document Control Coordinator at PCL managing project documents and compliance in Edmonton. Collaborating with teams to ensure accurate documentation and timely distribution to stakeholders.

Responsibilities

  • Reviews documents and drawings for necessary data, enters appropriate data into the corresponding PCL document tracking system, and checks records for accuracy and completion.
  • Ensures that all documents are filed electronically on the project computer network and that a record of these filings are recorded in the corresponding PCL document tracking system where applicable.
  • Updates project and contract documents (drawings and specifications) as directed by the project team.
  • Ensures that all required documentation is distributed to required stakeholders internally and externally.
  • Assists in the preparation of project turnover materials including the generation of operations and maintenance manuals, assembly of all documents, and the organization and presentation of the materials.
  • Ensures that all documents are properly submitted to all relevant stakeholders in compliance with contractual requirements and using mandated file transfer protocol (FTP) or document management system (DMS).
  • Audits document log and project file, identifies document discrepancies, and expedites delivery of missing documents.
  • Reports on status of document management process to project manager and drawing/document control supervisor.
  • Assists with the design and implementation of solutions addressing document management issues.
  • Liaises with the project team and external parties for verification and resolution of relevant project and contract documentation issues.
  • Prioritizes tasks to meet the needs of the project team and their respective deadlines.

Requirements

  • High school diploma required.
  • Professional verbal and written communication skills.
  • Ability to learn basic construction processes and technology, including drawings and specifications, building material, and required standards applicable to the discipline.
  • Strong computer skills and ability to quickly learn PCL and client-specific software.
  • Ability to perform routine tasks with a high level of accuracy.
  • Ability to multitask and prioritize tasks with conflicting deadlines.
  • Strong organizational skills and high level of detail orientation to maintain all necessary documentation and meet deadlines and requirements.
  • Intermediate skills using the Microsoft Office Suite and other applicable systems.
