About the role

  • Executive Assistant supporting banking leadership with calendar management, meetings, travel, and administrative tasks. Requires 4+ years experience in professional setting.

Responsibilities

  • Manage and maintain executives’ calendars, coordinating meetings, conferences, and travel arrangements. Monitor and respond to inbox inquiries, manage meeting proposals, action items, and delegate tasks as needed. Organize and facilitate meetings, including booking locations, preparing agendas, minutes, and supporting materials for business planning sessions, staff meetings, townhalls, and management reviews. Prepare presentation materials, reports, and meeting agendas, ensuring all information is accessible and well-organized. Follow up on action items, meeting minutes, and deliverables, coordinating with facilitators and presenters to ensure timely delivery. Support senior management with event planning and meeting logistics, including town halls and team meetings. Coordinate travel and accommodation arrangements for the executive team. Process monthly expense reports, validate expenses, and maintain up-to-date records within Workday, including vacation schedules. Collaborate with other executive assistants to coordinate meetings, manage calendars, and provide backup support during absences. Assist in activities to foster employee engagement, such as team social events, coffee chats, and focus groups.

Requirements

  • Minimum 4 years of experience as an Executive Assistant in a professional setting. Proficiency with the MS Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational skills and exceptional attention to detail. Excellent verbal and written communication skills. Ability to prioritize tasks and manage multiple deadlines effectively. Experience working in a banking or financial services environment is highly preferred. Nice to Have: Previous experience working at a financial institution. Project coordination or management skills. Familiarity with Workday or other HR systems.
