About the role

  • Accounts Payable/Receivable Coordinator supporting LEA’s employee-owned engineering consultancy. Processing invoices, collections, reconciliations, payments, and audit support in a hybrid Markham role.

Responsibilities

  • Receive, review, and verify vendor, sub-consultant, and employee expense invoices and submissions
  • Code, process, and post vendor invoices and employee expenses in Deltek VantagePoint
  • Obtain internal approvals before processing payments
  • Manage semi-monthly cheque runs and payment processing through cheques, EFT/ACH, and wire transfers
  • Prepare cheques and ad hoc payments
  • Monitor accounts payable processing and payment timeliness
  • Maintain vendor files, A/P listings, and accurate accounts payable records
  • Respond to vendor inquiries and resolve payment-related issues
  • Prepare and distribute aged accounts receivable reports to Project Managers
  • Communicate with clients regarding overdue invoices and outstanding balances
  • Investigate and resolve payment discrepancies with clients
  • Collaborate with Accounting to resolve internal variances and process adjustments
  • Prepare, mail, and email client invoices and maintain invoice records and databases
  • Perform general ledger reconciliations and other financial accounting support
  • Support the year-end audit process
  • Perform administrative tasks and prepare supplementary client-invoice documentation
  • Maintain Corporate Services electronic and paper filing systems
  • Assist with special projects and assigned administrative or accounting-related duties

Requirements

  • Degree or diploma in Accounting, Business, or a related field
  • 1–3 years of experience in an Accounts Payable and/or Accounts Receivable role
  • Experience using Deltek Vision or Deltek VantagePoint is highly desirable
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office 365 applications
  • Excellent interpersonal skills and ability to collaborate effectively in a team environment and work independently
  • Ability to manage multiple priorities, stay organized, and meet deadlines with minimal supervision
  • Strong attention to detail and analytical thinking
  • Effective problem-solving skills and commitment to accuracy
