About the role

  • Bilingual Fleet Maintenance Coordinator responsible for executing vehicle fleet maintenance and repairs coordination. Ensuring compliance with standards and minimizing downtime while managing supplier relations and maintenance data.

Responsibilities

  • Plan and coordinate preventive maintenance (PM) and technical inspections (CVI) for the entire fleet
  • Respond to breakdowns on the road and promptly arrange emergency repairs
  • Monitor EDVIR defect reports related to maintenance and ensure timely corrective actions
  • Create and manage work orders in fleet management systems (Ultimo or Truckmate)
  • Maintain accurate asset profiles and a detailed maintenance history
  • Validate data integrity to support compliance, reporting, and financial decision-making
  • Provide approved purchase orders to vendors before maintenance or repair work begins, ensuring they match validated estimates
  • Verify the accuracy of vendor estimates and escalate approval requests that exceed spending thresholds
  • Monitor variances between estimates and actual costs and take corrective action to reduce discrepancies
  • Ensure vendors comply with service level agreements (SLAs) and company standards
  • Serve as the primary liaison between fleet management and operations dispatch teams to align maintenance schedules with load planning
  • Proactively communicate with third-party vendors to confirm service timelines and resolve issues
  • Monitor shared inboxes dedicated to fleet maintenance and respond promptly to internal and external requests
  • Provide timely updates to stakeholders on asset status and repair progress
  • Review disputed invoices to ensure timely resolution
  • Track, control, and approve estimates
  • Ensure cost reduction is a priority while maintaining service quality
  • Actively monitor and pursue warranty opportunities
  • Perform monthly follow-up on accounts payable and costs
  • Analyze historical maintenance data in detail to validate estimates and make cost-effective repair decisions
  • Identify recurring issues and provide insights to fleet management for continuous improvement
  • Ensure compliance with DOT/FMCSA or NSC regulations
  • Maintain documentation for audits and inspections
  • Follow up on wheel retorque checks and other safety-critical tasks

Requirements

  • Must be bilingual in French and English
  • 3–5 years of experience in fleet maintenance coordination or a related field
  • Knowledge of tractors, trailers, chassis, refrigerated trucks, and generators
  • Knowledge of DOT/FMCSA or NSC regulations
  • Experience with fleet management systems (Ultimo or Truckmate)
  • Strong organizational and communication skills
  • Ability to prioritize and adapt in a dynamic environment
  • Proficient in Microsoft Office; experience with reporting tools is an asset
