About the role

  • People and Office Coordinator managing Toronto office operations, events, onboarding, and workplace experience. Supporting Sokin’s global payments business and North American People team.

Responsibilities

  • Oversee the smooth, safe, and efficient running of the Toronto office
  • Ensure the office is well-maintained, compliant with regulatory requirements, and audit-ready
  • Manage relationships with building management, landlords, and vendors
  • Oversee office access, security, maintenance, and supplies
  • Coordinate facilities-related projects, including moves, fit-outs, and improvements
  • Manage approvals, budgets, payments, and stock for office and kitchen services
  • Manage office communications and notices
  • Support C-Suite visitors and global team members visiting Toronto
  • Liaise with Finance on purchase orders, invoices, and office expenses
  • Lead health and safety procedures, including first aid, risk assessments, and fire safety
  • Create a welcoming, inclusive, and safe office environment
  • Serve as a point of contact for People and Office-related queries
  • Plan and deliver Toronto internal events, socials, parties, onboarding sessions, and leadership visits
  • Support coordination of global events, regional offsites, town halls, and cross-office gatherings
  • Own event logistics, including venues, catering, suppliers, and day-of execution
  • Support employee onboarding and offboarding
  • Coordinate with People Ops, Hiring Managers, and IT on equipment and induction schedules
  • Support and lead People projects as requested by the HR Partner
  • Collaborate with the global People team to align processes and share best practices
  • Provide ad-hoc support to People and Talent Acquisition teams
  • Support regional Office Managers and the People Team with events and workplace experience

Requirements

  • 2-3 years' experience in an Office Administrator, Office Manager or Workplace Operations role
  • 1-2 years' experience in an HR Administrator or HR Coordinator role (preferred, but not required)
  • Proven ability to run office operations end-to-end, in a fast paced environment
  • Excellent organizational and multitasking skills with a strong attention to detail and a high standard of accuracy
  • Working knowledge of HR processes, documentation, and systems (preferred, but not required)
  • Organised and proactive, with strong prioritisation and communication skills
  • Team-oriented and approachable, with a passion for people and process excellence
  • Willingness to develop professionally and grow within the People Team
