About the role

  • Front Desk Associate to serve as the welcoming face of the community, handling tenant onboarding, move-in coordination, and administrative support in Ottawa.

Responsibilities

  • Position Overview: Seeking a personable and detail-oriented Front Desk Associate to serve as the welcoming face of our community. In this role, you will be the first point of contact for clients and visitors, delivering exceptional service while ensuring a seamless experience. Key Responsibilities: Tenant Onboarding & Move-In Coordination · Contact new tenants upon lease execution to confirm hydro setup and tenant insurance · Prepare and distribute move-in packages, including keys, access details, and building information · Schedule and coordinate key pickup appointments and maintain internal tracking systems · Conduct final unit walkthroughs, complete inspection reports, and obtain tenant sign-off · Facilitate move-in orientations covering building amenities, access systems, parking, and unit operations · Coordinate after-hours key pickups, ensuring all access systems are tested in advance · Verify unit readiness prior to occupancy and arrange cleaning or maintenance services as needed Administrative & Office Support: · Assign and manage incoming tasks within Buildium · Respond to general tenant inquiries (parking, waste disposal, storage, etc.) · Delivery notices to units, including legal documents and entry notices · Support unit staging and furnished suite setup · Assist with coordination of building events (e.g., resident gatherings, BBQs) · Schedule and coordinate elevator bookings for move-ins and move-outs · Collaborate with the team to continuously improve experience

Requirements

  • Qualifications: · Proven experience in a customer service, hospitality, or front desk role · Excellent communication and interpersonal skills · Strong organizational and multitasking abilities · Professional, friendly, and approachable demeanor · Ability to work both independently and collaboratively in a team environment
