About the role

  • Executive Assistant supporting American Express Corporate Affairs & Communications leaders. Managing calendars, travel, budgets, vendors, and strategic communications operations in Toronto’s hybrid office.

Responsibilities

  • Serve as a trusted partner to the Vice President, LACC & Global Merchant Services International Communications and the Vice President, Canada Communications.
  • Anticipate executive needs, manage competing priorities, and independently resolve issues.
  • Coordinate across executive offices, leadership teams, markets, and stakeholders.
  • Support broader International Communications team priorities and special initiatives.
  • Own and manage complex calendars across two senior leaders, multiple time zones, and internal/external partners.
  • Prioritize meetings, resolve conflicts, and align schedules with business priorities.
  • Prepare executives for meetings with context, materials, and logistics.
  • Coordinate logistics for senior-level meetings, leadership forums, offsites, town halls, and external engagements.
  • Support presentations, briefing materials, and communications for high-visibility and sensitive meetings, including crisis or issues-related work.
  • Coordinate team, colleague engagement, community, and volunteer initiatives.
  • Provide coordination and execution support for communications and content needs.
  • Manage domestic and international travel arrangements.
  • Prepare, review, and submit expense reports.
  • Resolve travel and expense issues in real time.
  • Oversee vendor onboarding, Statements of Work, invoice submissions, payment tracking, and coordination with internal teams.
  • Maintain operational expertise in Ariba, Concur, Oracle, Stream, and other internal systems.
  • Track annual budgets, spend forecasts, budget balances, and provide regular reporting and updates.
  • Support new-hire onboarding, equipment requests, system access, and coordination with Technology and Workplace Enablement teams.
  • Coordinate ordering of computers, equipment, and office supplies.
  • Coordinate information, processes, and activities across International Communications and partner teams.
  • Support ad hoc projects, operational initiatives, and process improvements.
  • Handle sensitive and confidential information with discretion.
  • Represent executive offices and the CA&C team with integrity and poise.

Requirements

  • 5+ years of progressive experience providing executive level administrative support, including experience supporting multiple senior leaders.
  • Demonstrated ability to manage complexity and prioritize effectively in a fast-paced, matrixed organization.
  • Strong knowledge of American Express internal systems, including Concur, Ariba, Oracle, Stream, Outlook, Teams, and MS Office Suite.
  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and follow-through.
  • Proven ability to anticipate needs, solve problems independently, and operate with minimal direction.
  • Demonstrated ability to manage projects and coordinate work effectively across multiple stakeholders.
  • Curiosity, adaptability, and desire to develop new skills and contribute across broad team priorities.
  • Previous experience or interest in communications would be an asset.
  • Strong sense of integrity and ability to maintain confidentiality.
  • Ability to work effectively with senior leadership, associates, and external business partners.
  • Comfortable working across cultures, markets, functions, and time zones.
  • Employment eligibility to work with American Express is required; the company will not pursue visa sponsorship.
