About the role

  • Executive Assistant supporting Cohere’s sales leadership team. Managing schedules, travel, meetings, documentation, and operational improvements for an enterprise AI company.

Responsibilities

  • Manage day-to-day schedules for the sales leadership team, including calendaring and booking meetings and commitments
  • Coordinate internal and external meetings and assist with related documentation
  • Arrange international and domestic travel and logistics, including flights, accommodations, scheduling, and expense reconciliation
  • Identify ways to add value and proactively improve leadership productivity
  • Optimize operations and processes and share ideas with the team
  • Support special projects such as team events, offsites, and community-building activities
  • Communicate with internal and external stakeholders while maintaining strict confidentiality
  • Create and maintain internal documentation, share knowledge, and format leadership communications
  • Work cross-functionally to support sales leadership and the company

Requirements

  • 3–7 years of experience working as an Executive Assistant, Administrative Assistant, or equivalent experience
  • Previous experience partnering with senior leaders in a fast-paced, growing, innovative environment
  • Experience managing multiple calendars
  • Strong written and verbal communication skills
  • Comfortable speaking to C-level stakeholders
  • Highly self-motivated; exercises discretion, tact, and professionalism
  • Detail-oriented and organized; able to stay calm under tight deadlines
  • Experience with Slack, Google Calendar, Google Sheets, and Google Slides
  • Experience creating and maintaining positive working relationships with internal and external stakeholders
  • Ability to work in the Eastern Timezone
