About the role

  • Project Manager overseeing the production process for exhibits and trade shows at Impact XM. Responsible for managing timelines, budgets, and ensuring project delivery beyond client expectations.

Responsibilities

  • Own the end-to-end production process, managing project timelines, budgets, deliverables, and execution.
  • Serve as a key point of contact for internal teams and clients, ensuring clear and consistent communication.
  • Coordinate cross-functional teams using Impact XM project management systems to ensure all details are tracked.
  • Proactively identify risks, troubleshoot challenges, and deliver effective solutions.
  • Support global estimating efforts by preparing detailed, accurate cost estimates.
  • Partner with design teams on materials, finishes, and sourcing to ensure feasibility, quality, and brand alignment.
  • Create and maintain implementation plans, work-back schedules, and vendor communications.
  • Manage subcontractors and suppliers, including coordinating services and issuing purchase orders.
  • Mentor and support junior team members, particularly Project Coordinators.
  • Participate in post-project reviews and contribute to continuous improvement initiatives.

Requirements

  • 5–10 years of experience in exhibits, trade shows, events, or experiential marketing (or a similar project-based environment).
  • A bachelor’s degree or equivalent combination of education and experience.
  • Ability to read and interpret CAD drawings, with a basic understanding of structural mechanics.
  • Strong organizational skills and attention to detail, with the ability to manage multiple fast-paced projects.
  • Solid understanding of production materials, trade show regulations, and industry best practices.
  • Proficiency in Microsoft Office and familiarity with project management tools.
  • Excellent communication and collaboration skills with a client-first mindset.
  • Willingness to work flexible hours and travel as required.
